SUMMARY OF OPPORTUNITY:
A small, fast-growing private company is seeking a highly organized, detail-oriented, responsive, and resourceful Executive Assistant/Operations Associate to support a fast-paced, dynamic, and entrepreneurial executive team at a high-growth company. This is not a traditional 9-5 administrative role, as it supports two high-capacity executives who travel extensively and maintain full schedules. We are looking for someone who values this unique opportunity to provide exceptional and real-time support to meet the executives’ needs. WHAT YOU’LL DO:
Own end-to-end calendar and scheduling management for two members of the Executive team.
Manage complex domestic and international travel logistics. Actively monitor travel details during trips to ensure seamless logistics and respond in real time to any changes or disruptions.
NOTE: This role requires regular availability outside of standard business hours to support time-sensitive travel needs and ensure smooth execution.
Serve as a trusted gatekeeper for time, attention, and information.
Coordinate closely with operations, events, and leadership teams.
Manage travel vendor relationships.
Manage contacts and relationships for the executive team.
Provide expense management for executive team.
Build and maintain repeatable systems and checklists.
Provide general administrative office support including shipping, office supplies, conference room booking, and equipment management.
All other duties as assigned.

EDUCATION and EXPERIENCE
The ideal candidate holds a Bachelor’s degree and brings interest and ideally 5+ years experience in supporting a high-profile individual and a high-performing, entrepreneurial team. We welcome applicants with a range of backgrounds - from recent graduates who align closely with the role’s profile to seasoned professionals with several years of relevant experience.
Proficiency in Microsoft Office (Word, Excel, Outlook, Powerpoint), Google Workspace, and Zoom is essential.
